All attendees are responsible for booking their own flights.  Please remember to fly into BCN (Barcelona International Airport). All flights must be booked by March 21st.

Please ensure you follow the corporate expense policy: Business Expense Policy.pdf

Remember once flights are booked, your guest selection may not be changed.

[fa icon="plus-square"] What is the flight budget to Barcelona?

[fa icon="plus-square"] What is needed to travel to Spain and required at check in?

To enter Spain and at check-in to the hotel, you will need to present two important things:

1.  Valid Passport - The document must be valid until three months after your planned date of departure.

Please note that you are responsible to understand the travel requirements to travel to and from your home country. *This is NOT the responsibility of Executive Group Travel.*

2.  Credit Card: The hotel will ask you to provide a credit card for incidentals (additional charges such as spa, drinks at the bars on property, etc). Please be aware they will put a hold on that credit card at check-in, then release the hold 24 hours after check-out. We recommend providing a credit card over a debit card, as the debit card will actually debit funds for the hold, then redeposit them after your stay.

[fa icon="plus-square"] What are the new Travel Requirements?

All travelers, both visitors and those transiting through the UK will need an Electronic Travel Authorization (ETA) visitors and those transiting through the UK. The ETA is currently £16.

An ETA is a simple online authorization that allows short stays of up to six months for tourism, business, study, or medical treatment. The application process is quick and can be completed online. You can apply for an ETA through the official UK ETA app (available for iPhone and Android) or directly on the UK government website.

What You Need to Know:

  • Application is Open
  • Non-European Nationals: ETA already required

Helpful Resources:

We recommend applying well in advance to avoid any last-minute travel disruptions.

[fa icon="plus-square"] Can I come early or extend my trip?

If you are interested in extending your trip this is first come first serve for room availability at the discounted room block rate.  The rate is 735 EURO per night including VAT, breakfast and local fees.

Once Executive Group Travel confirms your extension, you have 72 hours to cancel those nights. After 72 hours, any cancelled nights will be your financial responsibility.

For any questions regarding additional nights at the W Barcelona, please email Info@ExecutiveGroupTravel.com.

Also any additional flight costs and transfer costs for flying earlier/later or to an alternate destination is your responsibility.

[fa icon="plus-square"] How are airport transfers being handled?

Yes, Vena will be providing airport transfers for all attendees arriving and departing on group dates to and from the W Barcelona.

For those arriving and departing outside group dates you will be on your own for airport transfers.  Taxi's are easy and safe to use, the ride to the hotel is only 25-30 minutes, depending on traffic.

[fa icon="plus-square"] Is this hotel all-inclusive?

The W Barcelona is not all-inclusive.  Vena has provided a Mastercard gift card with 650 EURO (total for you and your guest) help defray the cost of food and drinks throughout the trip.  Anything over the allotted credit will be your responsibility.

[fa icon="plus-square"] What type of adapter will I need for my electronics?

Spain has 220 volt electricity, meaning unless your computer or appliance is dual voltage or designed for 220 volts, you will need a converter/adapter.  Most common electronics are dual voltage (laptops, smartphones, etc.) but most hair dryers, electric shavers, and straightening irons are not.

Non-European travelers will need to use an adapter to plug in American-style plugs (two flat prongs) into European outlets (which take two round prongs).  Same will go for all non-European offices.

[fa icon="plus-square"] What happens if I don't spend my resort credit?
At the end of your trip, if there is a balance from the resort credit issued to you and your guest, please note that there isn't a cash payout option, the remaining balance will just go back to the company to invest towards future trips!

[fa icon="plus-square"] If the itinerary changes, how will I stay updated?

There will be two options.

1.  All updates and changes will be communicated to you through email in a timely manner. This means you should be using the hotel wi-fi once a day to check for any updates or special events added.

2.  Your individual Travefy itinerary viewed through the Trip Plans app will also post any updates to the trip. We highly recommend downloading the Trip Plans app to make it easier to view throughout the trip.
